What data we collect

The Company collects the following categories of data:

1. Data you provide to us yourself

This is information provided in the following situations:

  • when you contact us through a form on artpart.club (name, phone number, e-mail);
  • when you become a member of Art Part Club (name, phone number, e-mail, date of birth, address);
  • when you approach us by e-mail or through social media with an interest in Art Part Club activities;
  • when you register for an Art Part Club event or attend one;
  • when entering into a contractual relationship with the Company;
  • information you provide to us for the purposes of performing a contract;
  • when you contact the Company with an enquiry about our services or with an offer of your own services or goods.

2. Information from other sources

These sources include:

  • publicly available sources, including public registers and the internet, where we genuinely need such information, for example to issue an accounting document, or where you publish your business contact details online and we would like to offer you a collaboration;
  • information we have received from third parties, for example from your employers, colleagues or business partners, which we genuinely need in order to perform a contract.

3. Data arising from your use of the App

If you use the App, we also process:

  • data about your user account (name, e-mail, phone number and other profile details you fill in within the App);
  • technical data about your device and your use of the App (device type and model, operating system version, App version, language settings, device identifiers, records of App errors and crashes);
  • data about your activity in the App (for example content viewed, actions and transactions carried out, interactions with other members);
  • a token for sending push notifications, if you enable them.

The Company may combine information obtained from these sources with other available information.

How we use your data

The Company uses the data it collects for the following purposes:

1. Protection of property and of the rights of third parties

We have an interest in protecting the property and rights of the Company and of third parties. We use your data solely for that purpose and do not process it further.

2. Entering into, amending and terminating contracts

We use the data to prepare contractual documentation and to amend or terminate contracts. We genuinely need your personal data for this purpose in order to meet the statutory requirements for creating, amending and ending a contractual relationship.

3. Approaching you about a collaboration

We use the data when enquiring about services and products with various suppliers, where your contact details are published online or where you provide them to us voluntarily, for example at a trade fair, a meeting or a similar occasion. We believe this does not intrude on your privacy. If you would nevertheless prefer us not to, please let us know as soon as possible.

4. Providing our services

We use the data to provide our services and to communicate with people interested in membership, event participants, customers and suppliers. We genuinely need your personal data for this purpose so that we can provide our services in accordance with all applicable legislation.

5. Accounting

We use the data for invoicing and accounting. We genuinely need your personal data for this purpose in order to meet our statutory accounting obligations.

6. Marketing

We also use your personal data to send commercial communications, where you have voluntarily given us your consent, where you have contacted us through a form on the website, where you are a member of Art Part Club, where you attend events organised by Art Part Club or where we have a contractual relationship with you, because we reasonably assume that news and information about the Company are of interest to you. If you would nevertheless prefer us not to, please let us know as soon as possible.

If you take part in an event organised by Art Part Club, we may take photographs or video recordings at the event and publish them on our website, on social media or in other marketing materials of the Company in order to report on the event. We do not make such recordings with the intention of processing your personal data; if you are nevertheless uncomfortable with them, please let us know as soon as possible and we will remove them where that is possible.

7. Running the App, push notifications and analytics

If you use the App, we process your data in order to create and manage your user account, to provide the individual features of the App and to keep it running securely and reliably.

Push notifications. If you enable them in the App, we send push notifications to your device (for example alerts about news, club activities or events related to your account). You can switch push notifications off at any time in the settings of the App or in the system settings of your device; delivery is technically provided by the notification services of the mobile platform operators (Apple, Google).

Analytics and improving the App. In order to run, improve and debug the App, we process data about how it is used (for example screens visited, features used, technical data about the device and error records). Wherever possible, we work with such data in aggregated or anonymised form that does not allow you to be identified.

Error and crash reporting. To keep the App stable, we process technical records of its errors and crashes through the Sentry service (Functional Software, Inc.), and this data is stored exclusively on servers within the European Union. In doing so we process an anonymous user account identifier, the device type and model, the operating system and App version, the technical record of the error and the sequence of steps in the App that preceded it (screens visited, addresses of the interfaces called without their content, and technical App logs). Error reports do not include your e-mail, your name or your IP address. The legal basis is our legitimate interest in keeping the App functional and secure; we keep these records for 90 days.

Activity feed. The App includes an activity feed in which selected information about your activity (for example your username and the actions you take in the App) may be shown to other members within the App. If you would prefer your activity not to be shown, please let us know using the contact details given in this policy.

8. Recruitment of employees and collaborators

If you send us your CV, we will use your data to fill a vacancy. We will process your personal data for the duration of the selection procedure; with your consent, which you may give us, we will keep it for a further two years in case a new position opens up in the future.

9. Court proceedings and defence of legal claims

We may use the information we collect to investigate or resolve disputes or legal claims connected with our business, or in any other way permitted by applicable legislation.

Cookies and analytics

Art Part Club websites on the artpart.club domain and its subdomains (the main website, ebook.artpart.club, brand.artpart.club, registration at register.artpart.club and the web app app.artpart.club before you sign in) use cookies. We need strictly necessary cookies for the basic functioning of the website; we use the other categories only with your consent, which you give in the “Cookie settings” bar.

We use the following categories of cookies:

  • Strictly necessary — basic website functions and storing your consent choice (the fs-cc cookie, valid for 180 days); the apc_ebook_bar cookie (30 days), which hides the e-book promo bar; and your choice in the newsletter pop-up, stored in your browser's localStorage; always used;
  • Analytics — measuring traffic and use of the websites with Google Tag Manager and Google Analytics 4 (Google Ireland Limited; the _ga and _ga_* cookies, valid for 2 years) and Microsoft Clarity (Microsoft Ireland Operations Limited; the _clck cookie, valid for 1 year, and the _clsk cookie, valid for 1 day);
  • Marketing — measuring campaign performance and delivering more relevant advertising with the Meta Pixel (Meta Platforms Ireland Limited; the _fbp cookie, valid for 90 days);
  • Personalisation — tailoring the websites to your preferences; we do not currently use this category.

Your consent is shared by all the websites listed above: you only need to give or refuse it once and it applies to all of them, so the analytics tools see a visit across these websites as one. Once you sign in to the web app, Google Analytics is switched off and the tags of the measurement tools are no longer fired; the iOS and Android mobile apps do not use these tools.

You can change or withdraw your consent at any time with the “Cookie settings” button in the bottom left corner of each of the websites listed (except the signed-in part of the web app). The legal basis for analytics, marketing and personalisation cookies is your consent; for strictly necessary cookies it is our legitimate interest in running the website.

Google, Microsoft and Meta may process data outside the European Union; such transfers are covered by the EU–US Data Privacy Framework or by standard contractual clauses.

Sharing and transferring data

The Company may share the data it collects:

1. With our business partners

The Company may make information available to its collaborators, suppliers, consultants, software providers, advisers and other service providers or business partners where they provide the Company with services that involve processing personal data. Under no circumstances will we provide your personal data, whether for payment or free of charge, to third parties that do not need it for any purpose. We assure you that all the Company’s contractual partners are bound by a duty of confidentiality and comply with applicable personal data protection legislation.

For reporting App errors and crashes we use the Sentry service (Functional Software, Inc., USA) as a processor, with data stored in the European Union; the scope of that data is described above in section “7. Running the App, push notifications and analytics”.

2. For legal reasons or in the event of disputes

The Company may share your information where required by law, other legislation, operating agreements, court or administrative proceedings or public authorities: with the police and the courts, public authorities or other third parties where this is necessary to enforce our legal claims or to protect the rights or property of the Company or of third parties; and with other parties in connection with a possible merger, sale of assets, consolidation or restructuring, financing, or the transfer of the Company or a part of it into the ownership of another company.

3. With your consent

The Company may also share your information in other ways where it notifies you of this and you give your consent.

Your rights in connection with the processing of personal data

In connection with the processing of your personal data you may exercise the following rights against the Company. To make a request you can use the Company’s contact details given in this policy or on artpart.club.

1. Retention and erasure of your data

We keep your personal data for the duration of your contractual relationship with the Company and, as a rule, for fifteen (15) years after it ends, unless legislation lays down different retention periods. Once you ask us to, the Company will erase or anonymise your data (subject to the exceptions set out below).

Where legislation permits, the Company may keep certain data even after the retention period has expired, in the following cases:

  • where the Company is dealing with a particular matter with you, for example an ongoing dispute or legal claim;
  • where legislation requires us to do so, or where we keep such data in aggregated or anonymised form;
  • where we need such data for legitimate business purposes.

2. Deleting your user account in the App

You can delete your user account at any time directly in the App (in your account settings, using the Delete account option) or request deletion by e-mail at privacy@artpart.club. When the account is deleted, we erase or anonymise the personal data associated with it. Data that we are required to keep under legislation (for example accounting documents) or that we need in order to establish, exercise or defend legal claims will be kept for the necessary period.

3. Access to your data

You can contact us free of charge at any time to ask whether we process your personal data and, if so, to request detailed information about that processing.

4. Changes to your data or errors in it

If any of your personal data changes during your contractual relationship with the Company — for example your name, address or residence, e-mail address or phone number — or if you find that we are working with outdated or incorrect data, please let us know as soon as possible.

5. Restriction of processing

You can ask us to restrict the processing of only some of your personal data, or to restrict processing for certain purposes only, if you believe that:

  • the data we process about you is inaccurate;
  • the processing of your data is unlawful and you wish all of your data to be erased;
  • we no longer need your data for the purposes set out above, but you need it in order to establish, exercise or defend your legal claims, for example in court proceedings;
  • you are no longer interested in our communications, even though we assumed they might be of interest to you.

6. Objection to processing

Where the Company processes personal data on the basis of the controller’s legitimate interest, you may object to such processing.

7. Withdrawal of consent to the processing of personal data

Where the processing of personal data is based on your consent, you may withdraw that consent at any time in writing (including by e-mail).

8. Data portability

You can contact us at any time with a request to transfer the data we hold about you to a third party of your choosing.

9. Complaint to the Office for Personal Data Protection

If you believe that we have handled your data unlawfully, you can at any time lodge a complaint with the Office for Personal Data Protection (Úřad pro ochranu osobních údajů), www.uoou.gov.cz.

This personal data processing and protection policy of Art Part Club is effective from 12 October 2026 and replaces the version effective from 29 August 2026.
